HR Operations Specialist

Join our team as an HR Operations Specialist (HR Generalist), where you’ll play a key role in ensuring smooth HR administration, employee lifecycle management, and a high-performant, compliant, people‑oriented work environment.
You will be part of the HR People & Culture team, being allocated on key HR Admin processes, ensuring high quality data accuracy, compliance, and great employee experience across the organization, sharing together with the other team members the following responsibilities:
Pre-hire and onboarding activities, ensuring new joiners have a professional, seamless, and well-coordinated start.
Prepare, update, and maintain employee files, documentation, and system records in line with legal and internal standards. Draft, maintain, update and manage employment documentation in compliance with Romanian labor legislation (employment contracts, addendums, job descriptions, employee records & certificates, exit documents, etc.).
Ensure data accuracy across HR systems and generate regular HR reports to support business decision-making. Process employee changes, data updates, and HR workflows within the HR information system.
Responsible for allocated HR processes including absence & time-off management, benefits administration, occupational medicine, HR archiving, and the leavers/offboarding workflow, Health & Safety related actions (documentation, training follow-ups, periodic compliance checks).
Employee Relations & Collaboration
Provide daily HR guidance to employees and leaders, ensuring timely and accurate responses on HR-related topics and creating a positive employee experience by contributing to workplace relationships, engagement, and retention initiatives.
Manage relationships with external HR vendors such as payroll providers, employee benefits suppliers, and Health & Safety.
Strong contribution within the team, sharing objectives, acting as back-up and building trust.
Process Improvement & Digitalization
Actively contribute to a more efficient, modern, and standardized HR function: participate in optimizing and standardizing HR processes, tools, and documentation, review and update internal HR materials to ensure clarity, accuracy, and relevance, support HR digitalization initiatives and promote modern, streamlined ways of working.

Education & Training
University degree; postgraduate relevant HR studies are a plus.
HR Inspector certification is an advantage.
SSM/H&S training is a plus (not mandatory).
Professional Experience & Technical Skills
Minimum 3 years of experience in HR, with strong knowledge of Romanian labor law and hands-on experience with employee lifecycle processes, especially onboarding and leavers/offboarding.
Strong Excel skills (pivot tables, formulas, reporting - advanced level). Experience in HR reports is a plus.
Experience with HR Information Systems (SAP HR is a plus).
Comfortable working with data, workflows, archive and documentation.
AI literacy and openness to new digital tools; interest in HR digitalization and operational improvement.
